Decisions AI mobile app transcripts

This article explains how transcripts work in the Decisions  AI mobile app, where they’re stored, who can access them, how to move them to the web, and what to know about retention and data security.

Who can access the mobile transcript

By default, the transcript is saved locally on the user’s device. Access depends on the user’s role in the meeting:

  • Meeting organizers or meeting admins

    • Can use the transcript to generate a meeting recap (stored locally for 7 days by default)

    • Can transfer the transcript to the web

  • Non-organizers / non-admins

    • Can use the transcript to generate a meeting recap (stored locally for 7 days by default)

    • Cannot transfer the transcript to the web

You can learn how to transfer the transcript to web by consulting this article: Creating Recap or AI Minutes from an in-person meeting

Retention policy for mobile transcripts

Mobile transcripts and recaps are stored with a default retention period of 7 days.

  • The 7-day window starts from the time the meeting was recorded

  • After the retention period ends, the locally stored recap/transcript is no longer available in the mobile app

If your Organization requires longer mobile transcript retention, ask your Decisions admin to extend the setting in the Decisions Admin Portal (up to 60 days).

Data security

Decisions is designed so mobile transcripts remain controlled and role-appropriate.

On-device security

  • Mobile transcripts are stored locally on your mobile device

  • Access is tied to the signed-in user on that device

  • Your device’s built-in protections (PIN/biometrics, encryption, MDM policies) help safeguard local data

Tip for Admins: You can apply mobile device management (MDM) policies. Find out more about it here: Intune - Decisions AI
