File retention settings, recap reminders and improved Meeting Chat security.
Set a retention period for meeting minutes drafts in Word
Microsoft Word retains version history by default — which may include early drafts or AI-generated content. This poses a challenge for organizations with strict compliance or data retention policies.
Now, Decisions admins can set a custom retention period for meeting minutes drafts in Word. Once the final minutes are saved as a PDF, the original Word file will be automatically deleted after the number of days you choose.
Find this setting in the Decisions Admin Portal: Org settings → File retention.
AI recap reminders in Meeting Chat
To help ensure meeting recaps are shared promptly, Decisions now sends a reminder card to the Meeting Chat if no recap has been posted within 15 minutes after the meeting ends. This applies when:
- The meeting has a transcript
- No recap exists yet
- The Decisions bot is installed in the team
Get proactive alerts to remove guests from Meeting Chat
By default, Teams doesn’t automatically remove guests from chat when a meeting ends. That means external presenters and other one-time participants might continue seeing recaps, follow-ups and other confidential content.
Decisions now sends automatic alerts to organizers when there are guests in the Meeting Chat who weren’t invited to the full meeting.
These alerts appear in the Edit Agenda view, giving organizers a quick way to review and remove guests — before, during or after the meeting.
Add "Tasks from previous meetings" as an agenda item
Meeting admins often need to manually add a review of open tasks to the current meeting's agenda, but it’s easy to forget.
To help teams close the loop and stay accountable, Decisions now suggests a dedicated agenda item for reviewing action items from previous meetings. When building your AI agenda, you’ll see a suggested agenda item labeled “Tasks from previous meetings.”
If your meeting is linked to a Microsoft 365 Group with Planner set up for tasks, this option will automatically appear. Other details:
- The agenda item includes a direct link to the team’s Planner board
- Useful for recurring meetings where teams want to regularly review open tasks
- The suggestion is unchecked by default, so you can easily choose whether to include it
