Case Submission: What it is and when to use it

Case submission is a premium Decisions feature that helps your Organization collect and approve proposed agenda topics (cases) with clear ownership, deadlines, and governance - all within Microsoft Teams and Microsoft 365.

Overview

Case submission replaces informal emails, chats, and ad-hoc suggestions with a structured, auditable process for agenda nominations. It’s designed for meetings where topics must be submitted in advance, reviewed by owners, and approved before they appear on an agenda.

When to use case submission

Case submission is especially valuable for:

  • Board and executive meetings

  • Leadership and management teams (L1/L2)

  • Steering committees and governance forums

  • Any recurring meeting with formal agenda requirements

If you need deadlines, ownership, visibility, and control over agenda nominations, case submission is the recommended approach.

Key benefits

Structured agenda input

  • Collect agenda topics in a consistent format

  • Ensure required information is provided up front

  • Reduce back-and-forth between submitters and organizers

Clear deadlines

  • Define deadlines for submitting cases, uploading pre-reads, and uploading presentations

  • Help submitters understand timing and expectations

Controlled access

  • Allow people inside or outside the Team to submit cases

  • Limit visibility so submitters see only what’s relevant

  • Support private and restricted submissions when needed

Approval and governance

  • Meeting owners approve or reject cases

  • Choose between flexible editing or stricter change control

  • Maintain accountability without slowing collaboration

Microsoft 365 native

  • Built on Microsoft 365 services like SharePoint and Planner

  • Uses Microsoft Entra ID for identity and access control

  • Respects existing security, compliance, and retention policies

How it works

At a high level:

  • A Team owner enables case submission

  • Eligible users or groups submit cases

  • Deadlines guide submission and uploads

  • Meeting owners review and approve cases

  • Approved cases appear on the agenda or in a backlog
