Case submission is a formal and structured way of gathering suggested agenda topics (cases) to upcoming meetings or a Team backlog.
Meeting types
Organizations that have regular meetings, for example Board/L1/L2 management meetings, or other meetings where there are formal requirements for the agenda nomination process, will typically benefit greatly from the Decisions Case Submission feature.
Highlighted capabilities
Some capabilities of the Case Submission feature include:
- Deadlines for case nomination and related tasks
- Examples:
- “Topics to be nominated 12 days before the meeting.”
- “Pre-reads to be uploaded 6 days before the meeting.”
- “Presentation to be uploaded 1 day before the meeting.”
- Examples:
- Allow people/groups outside the team to nominate topics.
- Example:
- Allow L2 teams to nominate topics to the L1 team.
- L2 team members are not necessarily L1 team members.
- Example:
- Allow topics to be nominated to the team backlog.
- A team owner/meeting organizer will decide if/when the topic is added to an agenda.
- Allow topics to be nominated to individual meeting agendas.
- Automatically allow to all meetings.
- Or manually allow to selected meetings.
- Strict mode / normal mode
- Strict mode:
- Team owner approves (or rejects) a topic for an agenda.
- Subsequent changes/additions to the topic done by the submitter are treated as change requests that require approval by the Team/owner before being reflected on the agenda.
- Normal mode:
- Team owner approves (or rejects) a topic for an agenda.
- Subsequent changes/additions to the topic done by the submitter will not require approval.
- Strict mode:
- Option to use Microsoft Planner to keep track of the deadlines.
- The case submitters can receive reminders from Planner.
- Visibility options for case submitters
- Case submitter can see topics nominated by others within his/her case submitter group(s) (but not from other groups)
- Case submitter can see only his/her own topics.
- Restricted content
- Files can be restricted, allowing the Team owner to limit file visibility to certain team members.
- Topic template
- Pre-defined template for topic nomination.
- Case submission template
- Define the deadlines related to the nomination process.
- Define the groups/users who are allowed to submit
