The Decisions Meeting Planner allows you to move or copy agenda topics between a meeting agenda and a Microsoft Planner plan — and vice versa — so you easily move topics of conversation around.
The 'Meeting Planner' functionality within Decisions is the easiest way to move agenda topics from meeting to meeting without having to cut-and-paste, retype, or clog up old agendas with uncovered topics.
Some key use case for the Meeting Planner include:
- Advance meeting planning and collaboration
- Shortlisting topics for upcoming meetings
- Annual or long-term planning
- Suggested topics + backlog for later discussion
- Topics to be discussed across multiple meetings
- As a 'parking lot' for topics or ideas
How to copy or move an agenda topic into the Meeting Planner
First, find a meeting that has an agenda currently associated with it. This meeting can be in the past, or in the future.
Locate the agenda item to be exported and click the three-dot menu within the agenda item (•••).
Open the menu, and select either 'Move to' or 'Copy to.' If you move the agenda item, it will remove it from its existing location. If you copy it, it will remain in its current location and be duplicated wherever it is moved to.
Tip: The first time you use the Meeting Planner in a Team or Group, you may be asked to create a Microsoft Planner plan or select an existing one. This will be the storage location for exported and imported agenda items in the current group.
Now you will store the agenda topic in a bucket of your choosing within the Planner board. You can use an exiting bucket or create a new one.
Note: It is not possible to select the “Actions/Tasks” plan associated with the current Team/Group. This is to avoid mixing agenda topics, actions and tasks.
Once you select 'Move' or 'Copy,' the agenda topic will now be stored for later import.
Importing an agenda item from Meeting Planner
Go to the meeting that you'd like to import the topic to. In the agenda view, click the down arrow icon next to '+ ADD' to select additional options. Select 'Import from Meeting Planner.' This will open up the dialog box that will walk you through the steps to import a topic.
When selecting the topic, you wll have the choice to keep it or mark it as complete in the Planner. Because Meeting Planner uses Microsoft Planner to store the information, you may want to clean out this area and often select 'Mark as completed.'
Click 'import' and you're done!
