How to Turn on Automatic Recording and Transcription for Teams Meetings

Capturing every discussion in your meetings is crucial for leveraging Decisions Meeting Recap and AI Minutes effectively. It's easy to forget to start recording at the beginning of a meeting, risking the loss of valuable insights. To avoid this, set your Microsoft Teams meetings to be recorded and transcribed automatically with a simple, one-time setup per meeting or series. This will help you maximize the utility of Decisions' AI features, making your meetings more productive.

Update meeting from Teams Calendar:

When scheduling meetings: 

  1. Open Microsoft Teams
  2. Navigate to Calendar: Look for the "Calendar" tab on the left sidebar to view your scheduled meetings.
  3. Schedule a Meeting: Find the meeting time you want and fill out the necessary information.
  4. Turn on "Record and transcribe automatically": On the right side of your new, unsaved, even - you will see a toggle to turn on "Record and transcribe automatically" toggle that to on (purple)
  5. Select Your Meeting: Find the meeting you want to automatically record and click on it to view details.

Update an already scheduled meeting: 

  1. Open Microsoft Teams
  2. Navigate to Calendar: Look for the "Calendar" tab on the left sidebar to view your scheduled meetings.
  3. Select Your Meeting: Find the meeting you want to automatically record and click on it to view details.
  4. Edit Meeting: In the meeting details window, click on the "Edit" button to modify its settings.
  5. Access Meeting Options: Click on "Meeting Options" to proceed to the settings page where you can manage permissions and recording & transcript.
  6. Enable Automatic Recording: Locate the "Record and transcribe automatically" setting and set it to"yes". This ensures the meeting will be recorded and transcribed from the start.


Update a scheduled meeting from Outlook Calendar:

  1. Open Outlook Calendar
  2. Locate the Meeting: Find the meeting you wish to set up with automatic recording and open it. (For meeting series do this on the series level)
  3. Meeting Options: Within the event details, look for the "Meeting Options". This is typically found in the Teams Link section of the meeting description.
  4. Access Meeting Options: Click on "Meeting Options" to proceed to the settings page where you can manage permissions and recording & transcript.
  5. Enable Automatic Recording: Locate the "Record and transcribe automatically" setting and set it to"yes". This ensures the meeting will be recorded and transcribed from the start.

 

Requirement to turn on "Record and transcribe automatically":

To activate this functionality, ensure you meet one of the following conditions:

  1. You are the meeting organizer
  2. You have delegate access to the organizer's calendar
  3. Yo have edit access to the calendar (channel)
  4. You have access to the meeting options because of a Teams meeting role
