AI Meeting Recap v2.0, PDF conversion, automatic recording in Teams, vote reports, and more.

Convert attachments to PDF now available

We’re excited to launch a new feature allowing you to convert individual attachments to PDF directly within Decisions. The update will make it easier to standardize documents, especially for board meetings.

When you convert an attachment, the PDF will replace the original in the agenda, while the original file is moved to a subfolder and won't appear on the agenda.

Planned future improvements include bulk conversion of multiple files at once and options to access or revert to original files directly from the agenda.

Enabling automatic recording for Teams meetings in agenda view

To get the full value of our AI-powered offerings, it’s essential to enable Automatic Recording and Transcription in your Teams Meetings. This feature allows the meeting organizers or co-organizers (not agenda co-authors) to ensure that key decisions and discussions are captured efficiently.

Meeting organizers and co-organizers can toggle this feature directly from the agenda view by clicking the switch next to "Automatic Recording." This will ensure that your meeting is recorded automatically once it starts.

This setting requires that your Microsoft 365 tenant settings are set to enable both recording and transcription, which are also vital settings for Decisions AI to accurately create meeting summaries.

Meeting options easily accessible in agenda view

Meeting Options in Teams meetings are a powerful feature, though often hidden within the Teams or Outlook calendar. To simplify access, we've made it easier for organizers and co-organizers to directly manage settings on the meeting or agenda.

These options include controls for security (e.g., who can bypass the lobby), audio and video management, engagement tools like attendance reports, role assignment, and automatic recording and transcription. This functionality is now live in production, streamlining meeting management for all users.

'Vote reports' now available

Users with access to Decisions' voting functionality can now view detailed vote reports. After a vote concludes, a "Vote report" button appears directly on the decision, providing an easy way to review how votes were cast (For/Against, Yes/No).

This feature currently applies to individual decisions, with plans to expand it to generate comprehensive vote reports for entire meetings in the future and allow for vote details to be merged into meeting minutes.

Enhanced attendee sync and visibility 

We’ve made improvements to help you understand and address scenarios where the attendee list is incomplete or shows unexpected attendees.
An out-of-sync attendee list can occur when:
  • The meeting invitation was forwarded
  • The meeting organizer added or removed attendees but didn’t send the updated invitation to everyone
  • The attendee list hasn’t been synced by the meeting admin, either in a normal calendar scenario or delegate calendar access scenario

Previously, attendees were only synced when a meeting organizer opened the agenda. Now, attendees are synced if the meeting admin has access (or delegate access to) the calendar where the event originated.

When there’s a mismatch between the attendee list in your calendar and the one in Decisions, when you expand the attendee list you’ll see a warning icon with a link to an article explaining potential causes and solutions.

Updates to credit-based usage system 

We’ve heard from Decisions users on our credit-restricted plans that it can be difficult to understand and track how their actions impact their credit balance. As a result, some users run out of credits.
To make the credit system simpler, we’ve made these adjustments:
  • View agenda: 5 credits (previously 1)
  • Publish agenda: 20 credits (previously 30)
  • Create meeting minutes: 10 credits (previously 20) 

Additionally, you will now receive a notification at 50% credit usage, and credit balances sync more frequently.
