System setup when deploying Decisions to large global tenants

Learn the recommended Microsoft system setup for deploying Decisions to a subset of users in a large global tenant

Prerequisites

  • Create security groups or Teams teams for the different user-segments related to the Decisions app
  • We recommend 2 different groups of users (Can be nested)
    • Group #1 - All users who are using Decisions
      • This group are users who will be using Decisions in their meetings day-to-day or frequently, and need direct access to the application in Teams, Outlook, and additional M365 entrypoints. 
    • [Optional] Group #2 - Meeting Admins
      • This group are users who have a designated Meeting Admin (Meeting owner, facilitator, board secretary, notetaker, executive admin, etc.) role for meetings, often responsible for managing the meeting and process.
      • This is optional if you want only Meeting Admins to have access to create Minutes, Meeting Book, Meeting Slides, and Agenda Print in Word/PPT

Azure Portal (AAD/Entra) - Enterprise application

  • In Microsoft Azure > Enterprise applications > Decisions > Manage > Properties
  • Ensure Assignment required? is set to No (Learn more about why this is important)
  • Set Visible to users? to No to reduce unnecessary clutter in the App Launcher. (This is only impacting the "9 dot top-left" App Launcher in Teams, Outlook and other M365 entrypoints)

[If "Assignment required?" cannot be set to "No", a 3rd user group is needed. This group would be the superset of users and should include everyone who potentially could be invited to a meeting with Decisions. Including all Guest Attendees & Guest Presenters.]

M365 Admin 

  • In M365 Admin > Settings > Integrated apps > Deployed apps > Decisions
  • Ensure Assign users is set to Specific users/group with Group #1 & #2 assigned
  • In M365 Admin > Settings > Integrated apps > Deployed apps > Decisions Meeting Documents Manager 
  • Ensure Assign users is set to Specific users/group with Group #1 & #2 assigned
    • [Optionally only Group #2, if you want only Meeting Admins to have access to create Minutes, Meeting Book, Meeting Slides, and Agenda Print in Word/PPT]

Teams Admin

  • In Teams Admin > Teams apps > Manage apps > Decisions
      • [or Permission policies if you have not migrated to Teams App Centric Management]
    • Ensure Available to is set to Everyone or Group #1 & #2 and App status is set to Unblocked
  • In Teams Admin > Teams apps > Setup policies
    • To distribute the Decisions app in Teams, create an App Setup Policy
    • Ensure Installed apps and Pinned apps is including Decisions 
    • Assign the policy to Group #1 & #2

 

Additional verification when blocking default access to 3rd party app in Microsoft Teams and M365 Admin, ensure you validate Azure Portal > Enterprise Applications > Decisions > Assignment required? No after configuring Teams Admin and M365 deployment options as these settings can impact initial configuration.
